Your Responsibilities as a Coordinator
- Student Matching & Coordination – Ensure students are paired with the right host institutions and mentors.
- Visa & Travel Arrangements – Assist outbound students with visa applications, flight bookings, and travel documents.
- Pre-Exchange Preparation – Provide students with cultural briefings, teaching expectations, and essential guidelines.
- During the Exchange – Maintain communication with student teachers, oversee their practicum progress, and resolve any arising issues.
- Post-Exchange Reporting – Collect evaluations, ensure students complete their reports, and submit feedback to SEAMEO.

Complete Guide: Steps, Documents & Submission

This section provides a step-by-step guide on how to participate in the SEA-Teacher Project, including required documents and where to submit them at each stage. Follow this guide to ensure a smooth process from start to certification.
Step 1: Sign & Find
To officially join the project, universities/institutions must:
- Sign the Letter of Agreement (LoA) with the SEAMEO Secretariat using the link provided via email
- Get the confirmation email from the SEAMEO Secretariat and follow the instructions in the email.
- Complete and submit the Institution Database form
- Create the profile page in SEA-VET platform following the University Profile Guide here
- Find potential partners via the institution contact list (send with the confirmation email) or Whatsapp Group
- Both parties complete this form to officially inform the SEAMEO Secretariat of their partnership.
Step 2 : Candidate Selection
Universities indicate the number and major of study area of students that they want to send and receive with the potential partners through the application form. It shall be 2-side agreement meaning that they have to agree on the number and major of study area of sending and receiving students with each other.
For Sending Universities:
- Select and identify student teachers who will participate.

- Note: For Google Docs Version, please make a copy (Click on the menu bar File > Make a copy) before using.

- Agree on the number of student exchanges with partner universities.
- Ensure students meet eligibility and academic requirements.
For Receiving Universities:
- Select candidates and confirm eligible inbound students.
- Determine practicum schools that will accommodate inbound students for assisted teaching and at least 20 teaching hours.
- Coordinate with sending universities for the online interview, Letter of Acceptance, and arrival schedule.
Step 3: Pre-Departure & Preparation
For Sending Universities:
- Coordinate with receiving universities for student interviews, Letter of Acceptance, and travel logistics.
- Arrange for students’ airfare, meals/pocket money, international health insurance, and visas (if required).
- Assist students in lesson planning with the receiving university.
- Conduct pre-departure orientation to prepare students for new cultures, environments, and expectations.
- Introduce students to the SEA-Teacher Blog Guide and explain its importance.
- Each student is required to document their exchange experiences through a blog or social media (public), which will be a key part of their learning journey and a requirement for certification.
For Receiving Universities:
- Ensure inbound students apply for international health insurance before departure.
- Provide support in obtaining a student visa/education visa/Special Student Permit (SSP) (if required).
- Prepare for accommodation, transport service from/to the nearest airport, mentors, and buddies for inbound students.
- Share pictures of the dormitory/house/room where inbound students will stay.
- Prepare a learning programme/study plan for students in their assigned schools/campus.

Step 4: Implementing the Student Exchange
For Receiving Universities:
- Arrange airport pick-up service for inbound students.
- Provide appropriate accommodation and a welcoming orientation.
- Conduct mentoring, monitoring, and evaluation throughout the exchange.
- Evaluate inbound students’ blogs following the SEA-Teacher Blog Guide and learning reflections.
- Organise cultural and educational activities, preferably during weekends.
- Share activities, photos, or media about the exchange in this WhatsApp group. (optional)
For Sending Universities:
- Monitor programme implementation with the partner universities.
Step 5: Post-Exchange & Certification
For Receiving Universities:
- Conduct a wrap-up meeting with participants.
- Validate and approve Inbound Students’ Performance Evaluations.
- Submit completed Performance Evaluation Forms and Blog Evaluations to partner universities.
- Arrange transportation for inbound students to the airport after completing the 1-month practicum.
- Distribute SEA-Teacher Certificate Request Form (Form-C) to the mentors, practicum school coordinators, cooperating teachers, and buddies who contribute to SEA-Teacher.
For Sending Universities:
- Arrange airport pick-up transportation for returning students.
- Ensure students complete the Programme Evaluation Form for Students.
- Submit the SEA-Teacher Certificate Request Form (Form A and Form B) to get the e-certificate for students and yourself from SEAMEO Secretariat.
- E-certificate processing: Information will be gathered every 1st and 3rd Monday (8:00 AM Thai time) of each month.
- Check the status of e-certificate issuance in this WhatsApp Group.
- E-certificates will be sent via SEA-Teacher’s email with instructions on how to download them.
- Institution (institutions and practicum schools) information submitted in the SEA-Teacher Certificate Request Form will be gathered at the end of the batch to issue certificates.
